Data Privacy Policy

This Data Privacy Policy outlines how we collect, use, store, and protect personal data for customers of the dvmReach, dvmRx, and VetEcho services.

Data We Collect

To deliver our services, we collect specific data attributes from Practice Information Management Systems (PIMS), including:

  • Client Information: Name, address, phone number(s), and email addresses
  • Patient Information: Name, prescriptions, medical history, alerts, and reminders
  • Appointment and Invoice Information: Line items, transactions, or related scheduling details

For VetEcho, we also collect voice recordings created by practice staff during or after client interactions.

Methods of Data Collection

We integrate with two data providers — Syncvet (offered by Vetsource) and AllyDVM (offered by AmerisourceBergen) — to access PIMS data with explicit authorization from the individual practice or corporate group.

Practices or groups may revoke access at any time, stopping synchronization of new updates from their PIMS. (See "Legal Rights" below for more details.)

Voice recordings for VetEcho are collected directly within the VetEcho web or mobile application, at the discretion of practice staff.

Use of Data Collected

dvmReach uses client and patient data to contact clients (via phone, text, and email) who are overdue for services. If a client expresses interest, dvmReach may also assist in scheduling an appointment during the call, at the client's direction.

dvmRx matches internal and third-party prescription data with the correct client and patient in the PIMS. It uses the collected data to analyze recent services provided to the patient and recommend a review status for each pending prescription based on recent services provided to the patient.

When a practice uses dvmRx combined with dvmReach, the data is also used to update clients on prescription status and extend internal pharmacy offers via phone, text, or email.

VetEcho uses data to:

  • Display scheduled appointments by doctor and date
  • Generate SOAP notes from voice recordings
  • Audit invoices for accuracy based on rendered services
  • Identify products or services mentioned during the client interaction for potential follow-up by the practice

Data Storage & Legal Rights

PIMS data accessed via Syncvet and AllyDVM is retained at minimum for the duration of an active service relationship with dvmRx, dvmReach, or VetEcho.

When a practice discontinues use of all services, it may request:

  • Deletion of all previously collected PIMS data
  • Anonymization of any new data generated during the service period

Individual clients may also request deletion of their personal data. In such cases:

  • PIMS-related data will be deleted
  • Any newly generated data will be anonymized and retained for internal historical reference

All deletion requests must be submitted in writing via the contact information below.

Data Protection

We apply industry-standard security protocols to protect all data:

  • Encryption: All data is encrypted at rest and in transit using TLS and secure encryption standards
  • Infrastructure: Core infrastructure is hosted on trusted providers, including AWS, MongoDB, and Snowflake
  • Access Controls: Role-based access control ensures only authorized personnel can access sensitive data
